Committee collaboration and decisions

How to centralise committee communication and decisions within your community

Updated over 2 weeks ago

The Committee Hub in resvu helps you centralise communication, decision making and record keeping in one place. Instead of relying on emails, phone calls or scattered files, you have a single, transparent and accessible space for your committee to operate.

Why use Committee Hub?

Committee members play a vital role in managing a community. However, most committee members are volunteers with busy lives. Committee Hub helps you by:

  • Improving transparency – view all requests, quotes and out-of-meeting votes without chasing updates.

  • Reducing email overload – move conversations and approvals out of crowded inboxes.

  • Keeping better records – log discussions and decisions that are easy to reference later.

  • Enabling faster decisions – managers can send quotes and requests for out-of-meeting approval directly to committees.

  • Supporting collaboration – create sub-groups, share documents and start topics for discussion.

Key features of Committee Hub

Topics

Create a topic for discussion (for example: paint colours, landscaping options). When a decision is needed, turn the topic into an out-of-meeting vote. You can comment, vote anonymously (if allowed by your manager) and always revisit past conversations.

Example: Instead of searching through old email threads, you can open a topic, see who responded and confirm what was decided.

Voting on quotes and approvals

Managers can send multiple contractor quotes directly to the committee. You review, comment and complete an out-of-meeting vote in the app. All activity is logged with a clear audit trail of when requests were sent, who responded and the final decision.

Use case: Applications such as pet requests or renovation approvals can also be managed this way, removing the need for lengthy back-and-forth emails.

Important: These are out-of-meeting votes to support day-to-day decisions. They do not replace formal voting at committee or general meetings required under legislation.

Subcommittees

You can create sub-groups (for example: landscaping, communication or social groups). Subcommittees allow smaller groups to collaborate without cluttering the main committee discussions. Each subcommittee has the same tools for topics, discussions and out-of-meeting votes.

Committee Hub in action

Committees often report these benefits:

  • Seeing maintenance requests and their status in real time.

  • Reducing reliance on emails that are often lost, delayed or misfiled.

  • Streamlining quote approvals and other out-of-meeting decisions, saving weeks of time.

  • Providing visibility for all owners when managers make certain requests community visible (for example: broken lights in common areas).

  • Creating stronger collaboration with managers by keeping everything centralised, transparent and logged.

Tips for committees

  • Use topics as a pre-meeting space – raise items early, discuss and reduce time spent in formal meetings.

  • Encourage all committee members to use the app, even if only for quick out-of-meeting votes.

  • Ask your manager to set up custom workflows (for example: pet applications, renovation approvals) to make involvement seamless.

  • Revisit past out-of-meeting votes and discussions to maintain continuity when committee members change.

Accessing documents

From within the app you can access important documents such as AGM minutes, insurance certificates, by-laws and notices at any time.

Committees with admin permissions can also upload documents, replacing the need for Dropbox or OneDrive. Speak with your manager about access.

Tips for documents:

  • Star “favourite” documents for quick access (for example: by-laws, safety procedures).

  • Share documents with other committee members or external parties (for example: mortgage brokers).

Summary: Committee Hub brings structure, transparency and efficiency to committee work. By moving discussions, out-of-meeting votes and documents into Resvu, your committee can save time, improve records and focus on building a stronger community.
